Most of the difficulty in moving data centre equipment has nothing to do with driving. The vehicle is rarely the constraint; the constraints are a goods lift with a stated capacity, a change window agreed weeks earlier, a loading bay shared with three other trades, and a rack that weighs more than the route was designed for. Add batteries that classify differently from everything around them and equipment that must be accounted for item by item, and the transport becomes a scheduling problem with a van attached.

What makes data centre equipment different to move?

The building governs the job. Unlike an office collection, where the limiting factor is usually volume, a data centre movement is limited by lift capacity, floor loading, door dimensions and the internal route between the floor and the vehicle.

Those constraints are fixed and knowable in advance, which is what makes them manageable — and what makes discovering them on the night so costly. A populated rack can exceed what a passenger lift will accept, forcing dismantling on the floor rather than at the loading bay. A ramp gradient can rule out a pallet truck. A shared loading bay with a two-hour booking turns a straightforward job into a sequence of timed runs. None of this is visible from a postcode, which is why the route gets walked before the collection is scheduled.

What equipment typically moves in and out of a data centre?

Four categories, and they do not share handling requirements. The split matters because one of them changes the legal basis of the carriage.

Batteries are the category most often left out of planning, because they read as part of the building's infrastructure rather than as equipment being moved — right up to the point somebody asks how they are leaving.

Why do UPS batteries change the transport requirements?

Because certain battery types are classified as dangerous for carriage, which is a transport classification governed by ADR rather than by whatever the equipment is worth. That brings driver licensing and load segregation into scope.

Our drivers hold ADR licences, which is one of the credentials T&C Logistics holds directly rather than through a partner, and it is the reason a battery string does not need a separate contractor. The classification is independent of any waste classification the same item might attract at end of life — an item can be dangerous for carriage and non-hazardous as waste, or the reverse. How do change windows affect the collection?

They set the timetable, and the timetable is not negotiable on the day. Removal from a live facility is a change like any other, so the vehicle attends inside an approved window rather than at a time that suits the logistics.

This is why speed is rarely the useful measure for this work. What matters is predictable attendance within a narrow, often overnight, slot — and everything that would otherwise eat into that slot being settled beforehand. A load that has been listed, classified and staged somewhere reachable can be moved inside a short window. One that needs sorting on arrival cannot, and the window closes with the job half done. How is equipment kept accounted for in transit?

By an itemised handover against a list you prepare before anything moves, and by keeping the load dedicated. A shared-parcel network consolidates and sorts by design, which turns an itemised consignment into a count.

How is equipment protected during the move?

By minimising handling rather than by wrapping. Most damage to IT hardware happens while it is being picked up, set down and re-stacked, not while it is being driven.

A dedicated movement is loaded once and unloaded once, which removes the sortation and transfer events that a consolidated network performs by design. Inside the vehicle the priority is restraint — heavy, tall items shift under braking, and securing them against movement matters more than cushioning them. Can equipment be moved between floors or buildings on one site?

Yes, and internal moves are governed by exactly the same constraints as a full removal, minus the driving. The limiting point is almost always inside the building rather than on the road.

A campus move between two buildings often looks trivial on a map and turns out to be two access surveys, two lift capacities and two loading points, with a short drive in between. What should be confirmed before booking?

Six items, all physical or documentary, none of which can be resolved inside a two-hour overnight slot.

  1. Goods lift capacity, and whether a populated rack exceeds it.
  2. The internal route — door swings, ramp gradients, floor loading, hand-carry distance.
  3. The approved change window and loading bay booking.
  4. Battery content, since that determines whether ADR carriage applies.
  5. The asset list, at drive level or chassis level, stated consistently.
  6. The destination — another site, a storage facility, or disposal.

Cabling is the driver most often underestimated. Structured cabling pulled from a suite fills a vehicle without adding much weight, so a job planned by tonnage alone frequently needs a second vehicle on the day.

What happens to equipment that is being retired rather than relocated?

Its legal status changes. Equipment being discarded is controlled waste, which requires a registered carrier, a transfer document and a destination approved to treat it — none of which applies to the identical item being moved between sites.

What if the equipment is going into storage rather than to a site?

A storage leg is workable but it is worth being deliberate about, because an intermediate hold is a gap in the custody record unless it is documented as carefully as the transport on either side.

Where the equipment is data-bearing, a direct movement is materially easier to evidence than one with an unrecorded interval in the middle — and "it was in storage" is exactly the answer that satisfies nobody during an audit. Whereas relocation and disposal both have a defined end point, storage defers the decision, which is fine provided somebody owns the asset list while it waits. Decide the eventual destination before the equipment goes in, not after.

Yes, and for most decommissioning and installation work it is the only practical option, because facilities commonly restrict removals to booked windows outside core hours. Dispatch runs 24/7. Do you dismantle racks, or do they need stripping first?
It depends on the access route rather than preference. Where lift capacity or door dimensions will not take a populated rack, it has to be stripped on the floor before it can move, and that work needs building into the window. Confirming lift capacity and the internal route before scheduling is what decides whether this is a planning detail or a stopped job.
How are UPS batteries handled?
