What decides how an item must be shipped?

Four properties decide it: the regulation the contents pull in, the temperature band the item must hold, how much shock and re-orientation it tolerates, and whether it can be replaced at all if it is lost.

A shipping profile is the combination of vehicle, driver qualification, packaging standard and documentation that a given item requires. It is derived from the contents, not from the parcel. A 4 kg box of blood samples and a 4 kg box of printed brochures have nothing in common operationally: the first is a UN3373 Category B consignment needing compliant triple packaging and a chilled compartment, the second travels on any vehicle going in the right direction.

Getting this wrong is expensive in both directions. Under-specify and the consignment is refused at the door, arrives outside its temperature range, or breaks. Over-specify and you pay for a dedicated refrigerated vehicle to move something that would have been fine in the back of a small van. Which items are regulated, and under which rules?

Regulation attaches to the contents, and it is the single largest divider in this catalogue. These are the frameworks that appear most often across the 43 guides:

What temperature band does the item need?

Four bands cover almost everything in this catalogue, and the band is set by the product specification rather than by preference. Naming it at booking determines the vehicle.

Controlled ambient is the band people forget. A wedding cake does not need refrigeration — it needs the vehicle not to reach 30°C in the back on a July afternoon, which is a different requirement and a different vehicle. How does a fragile item differ from a merely heavy one?

Weight determines the vehicle; fragility determines the handling. They are independent, and confusing them is the most common booking error on this catalogue.

A 600 kg server rack is heavy but not delicate in the way a 3 kg violin is delicate: it needs a tail-lift and two people, and once it is strapped upright it will tolerate a normal journey. A multi-tier wedding cake weighs almost nothing and cannot tolerate a single hard brake. Unlike general freight, where load security is about stopping items moving relative to each other, fragile-item work is about controlling shock, vibration and orientation across the whole journey — which usually means no intermediate handling at all.

Irreplaceability is a third axis again. Which vehicle fits the item?

Vehicle choice follows from weight, external dimensions and how the item has to be loaded — a ground-level doorway and a loading dock are different problems.

The tail-lift is the detail that most often decides the booking. Any item that cannot be lifted by two people from ground level — a server rack, a crated artwork, a 7 m³ exhibition stand — needs a Luton van even when its weight would fit a smaller vehicle. What drives the cost of shipping a specific item?

One fixed price per dedicated job, quoted upfront before you book, with fuel and goods-in-transit insurance included and no hidden fees. These are the factors that move it:

Dedicated same-day work starts from £50 (ex VAT). Final price depends on distance, vehicle, urgency and time — quoted in full upfront before you book. Dedicated transport is not the same product as a shared-parcel network rate, and most items in this catalogue cannot travel on the latter at any price.

Which items can share a vehicle, and which need a dedicated run?

A dedicated run carries one consignment from collection to delivery with no intermediate handling and no other drops. A shared or consolidated run carries several, which is cheaper and slower.

Most of this catalogue is dedicated work, and the reason is rarely the item's value. Four conditions force it: a temperature record that a second door-opening would break, a chain of custody that has to show the item never left the driver's control, an orientation the item cannot lose, and a hard arrival time that a multi-drop route cannot guarantee. Where none of the four applies, a shared run is the better buy and we will say so. What should be ready before the driver arrives?

Five things, and getting them wrong is the most common cause of a vehicle waiting at the kerb — which is billable time and, for a time-critical item, the difference between making a deadline and missing it.

1. The item packed and closed. Drivers verify that regulated markings are present; they cannot pack on your behalf.
2. Access confirmed at both ends. Ground level or loading dock, lift dimensions if the item goes upstairs, and any site induction or gate pass the driver will be asked for.
3. A named contact with a working phone number at the delivery end — for a hospital, ward and receiving clinician; for a court, the registry and clerk; for a cargo shed, the handler reference.
4. The consignment reference where one exists. An airway bill number is not optional at a cargo handler: without it nothing is released.
5. Declared value stated at booking, not at collection, so the consignment is routed to the right cover before the vehicle is allocated.

For anything in the chilled or frozen bands, add one more: have the item at its target temperature before collection. A refrigerated vehicle holds a temperature; it is not designed to pull a warm consignment down into range, and the journey record will show the excursion either way.

What paperwork travels with a regulated item?

For unregulated cargo, a signed and photographed proof of delivery is the whole record. Regulated items add documentation at each stage:

1. At booking — UN number and class for dangerous goods, temperature band for cold chain, declared value, and any handler or ward reference at the delivery end.
2. At collection — the consignor's declaration for regulated goods, seal photographs where the package is sealed, and a timestamped, GPS-tagged collection record.
3. In transit — continuous GPS tracking, and for cold-chain work a temperature record covering the whole journey rather than endpoint readings.
4. At delivery — name and role of the receiving person, signature, photograph of the delivered item in place, and the seal photographs repeated for comparison.

The consignor remains responsible for correct classification and declaration of regulated goods — a driver can verify that markings are present, not that they are right. How does collection from an airport or seaport work?

Landside, from the cargo agent's shed. We collect from authorised cargo handlers at the terminal rather than from the aircraft or the quay, and the handler releases against the consignment reference.

The practical constraints are the handler's release cut-off and the queue at the shed, both of which can hold a vehicle for a significant part of an afternoon — which is why waiting time appears in the cost table above. Aircraft parts are the most time-sensitive case, because the cost of a grounded aircraft is measured per hour. What cover applies if the item is damaged or lost?

Goods in transit are insured to £50,000 on our own vehicles and up to £1,000,000 where a consignment is carried through partner carriers. Public liability cover is £1,000,000.

Several items in this catalogue routinely exceed the in-house figure. A populated server rack, a case of semiconductor components, a piece of gallery artwork or a set of broadcast camera bodies can each pass £50,000 without looking remarkable on a loading bay. Declare the value at booking: it is the difference between a consignment being routed to appropriate cover and being discovered under-insured after a loss, and it costs nothing to state.

Insurance is not a substitute for the right handling profile.
