Confidential documents travel on a dedicated vehicle rather than through a parcel network: one driver, direct from collection to delivery, with no depot sortation and no overnight in a hub. Custody is recorded by a handover signed at both ends rather than inferred from a tracking scan. Vehicles are GPS-tracked under our Operator's Licence, with goods-in-transit cover of £50,000 on our own vehicles, extendable to £1,000,000 through our partner network. Under UK GDPR the data controller stays accountable for personal data in transit, so the evidence of who held the documents matters as much as their arrival.

The risk with a confidential document is almost never the road. It is the eleven other pairs of hands a parcel network puts between the sender and the recipient, and the fact that none of them are recorded as individuals. A dedicated movement replaces that with one driver and two signatures, which is a less impressive-sounding control and a far more defensible one. This page covers how sensitive documents are actually moved, what the record looks like afterwards, and where the legal obligation sits.

How should confidential documents be transported?

On a dedicated vehicle, direct. One driver collects and delivers, with no consolidation into a shared network and no depot leg in between.

The reasoning is about accountability rather than speed. In a consolidated network a consignment passes through multiple sortation points, each handled by whoever is on shift, and the record of that is a series of scans rather than a chain of identified people. A dedicated movement produces a much shorter and much more answerable question: one named driver held these documents between two signatures. Whereas a tracking scan tells you a barcode was read, a signed handover tells you who accepted responsibility and when.

What counts as a confidential document for transport purposes?

Anything whose disclosure would cause harm — which in practice is a much wider category than the word "confidential" printed on a cover sheet.

CategoryTypical sensitivity
Legal papers and court bundlesPrivileged material, court deadlines
HR and personnel filesPersonal data under UK GDPR, often special category
Financial and audit recordsCommercially sensitive, regulatory retention
Medical and clinical paperworkSpecial category personal data
Commercial contracts and tendersCompetitively sensitive, deadline-bound

The transport requirement is set by the consequence of disclosure rather than by the volume of paper. A single HR file can carry more risk than a pallet of marketing brochures.

How is custody recorded?

By a handover signed at both ends, not by a scan. The signature fixes who accepted the documents and when, which is the question asked if anything goes wrong.

Where a consignment is itemised — several files or envelopes going to different recipients — the handover records the items rather than a count, so a discrepancy is visible while both parties are present. Vehicles are GPS-tracked throughout, which evidences the movement itself independently of anyone's recollection. Rather than relying on packaging to demonstrate integrity, the control here is that the number of people who could have opened anything is one, and that person is identified.

Who is legally responsible for documents in transit?

You are, where the documents contain personal data. Under UK GDPR the data controller remains accountable through the whole processing chain, and using a courier does not transfer that.

What a carrier can provide is the evidence that you took appropriate measures: a movement where custody is identifiable, a signed record of transfer, and a route with no unrecorded intervals in it. The Information Commissioner's Office is the supervisory authority, and the question it asks after a loss is what measures were in place — not whether a tracking number existed. This is the same reasoning that governs data-bearing hardware, covered under chain-of-custody IT collection.

What happens if a delivery is deadline-critical?

The deadline governs the routing rather than the other way round. A court filing or a tender submission has a hard cut-off, and a missed one is not recoverable by a refund.

Dedicated movements are booked against the deadline with the collection time set backwards from it, and because the vehicle does not join a network schedule there is no sortation cut-off to miss. Dispatch runs 24/7 across more than 3,000 vetted driver-partners, which is what makes short-notice attendance realistic outside the major cities as well as inside them. Related: legal document courier and court bundle delivery.

Can documents be collected from or delivered to a third party?

Yes, and this is where the handover record earns its value. Collections from a solicitor, a registry, an agent or a client site all involve someone who is neither sender nor recipient.

The practical requirements are that the releasing party knows the collection is authorised and that the driver's arrival is expected — an unannounced courier at a regulated office will correctly be refused. Where identification is required at either end, agree it at booking rather than at the door. Whereas a network delivery attempts and re-attempts, a dedicated attendance is a single scheduled appointment, so the authorisation needs to be in place before it happens.

How are documents protected in the vehicle?

By the load being yours alone. There is no other customer's freight in the vehicle, so there is nothing to sort, nothing to unload en route and no opportunity for a misdelivery.

Documents are kept dry and restrained against movement, which for paper is a low bar — the real exposure is not physical damage but disclosure, and disclosure risk falls with the number of hands involved. Cover while goods are in our care is set out under goods-in-transit insurance, though for documents the insurable loss is rarely the point: the consequence of a lost bundle is usually a missed deadline or a notifiable breach rather than a replacement cost.

Do you carry original documents such as deeds and executed contracts?

Yes, and originals are the strongest case for a dedicated movement, because there is no second copy. A scanned duplicate is not the instrument; the paper is.

Completion documents, executed deeds, share certificates and witnessed instruments all share the property that loss is not recoverable by reprinting. That places them alongside prototypes in the electronics world: the objective is eliminating handling events rather than winning minutes. Where a document must be signed on arrival and returned, the driver can hold and bring it back on the same run. See signed deed collection and completion-day movements.

What happens when documents must be exchanged or witnessed?

The movement is built around the appointment rather than the distance. An exchange has a time and a set of people, and the transport exists to make that happen rather than to be fast.

In practice that means the driver attends at an agreed hour, waits while signatures are taken, and returns with the executed papers — one dedicated vehicle covering an outbound leg, a wait and a return leg. Because the vehicle is not required elsewhere on a network schedule, waiting is a cost line rather than an operational impossibility. Agree the expected wait at booking so it is priced rather than disputed afterwards.

How quickly can documents move between UK cities?

Same-day is normal for point-to-point movements, since a dedicated vehicle leaves when it is loaded rather than when a network schedule permits.

The genuine variables are collection readiness and access at both ends, not the driving. A package waiting at reception with an authorised releaser present moves immediately; one that needs locating, printing or signing off does not. Dispatch runs 24/7 across more than 3,000 vetted driver-partners, so overnight and weekend movements are routine rather than exceptional — which matters when a deadline falls on a Monday morning and the documents exist on a Friday evening.

What does a confidential document movement cost?

Distance and timing, mostly. We quote one fixed price per job upfront, with fuel and goods-in-transit cover included and no hidden charges.

DriverEffect on price
Distance and clean-air zonesMileage plus ULEZ or CAZ charges where applicable
DeadlineDirect dedicated running versus a scheduled slot
Out-of-hours or weekendAttendance outside standard hours
Multiple collection or drop pointsRoute length and time on site
Waiting timeWhere the driver holds for a signature or a document to be produced
Return legWhere signed papers come back the same day

Can a driver be prevented from reading the documents?

The honest answer is that the control is procedural, not physical. We do not provide tamper-evident packaging, so what protects the contents is that the documents stay sealed as you presented them and pass through one identified pair of hands rather than many.

If physical evidence of non-opening is a requirement — for evidential chain purposes, say — then seal the package yourself before collection and record the seal reference on your own paperwork, which is a control you own and can attest to. That is a stronger arrangement than relying on a carrier's assurance about its own packaging, and it costs an envelope. What the dedicated movement contributes is that the list of people who had the opportunity is one name long.

What should you agree before booking?

Five things, all of which are quicker to settle at booking than at a locked office door.

  1. Who releases the documents, and whether the driver's arrival is expected.
  2. Who may sign for them at the destination.
  3. Whether the consignment is itemised, and against what list.
  4. The hard deadline, so collection is timed backwards from it.
  5. Whether a return leg is needed for signed or executed papers.

Frequently Asked Questions

How is this different from a tracked courier service?
A tracking number records that a barcode was scanned at a sortation point; it does not record who held the item. On a dedicated movement one named driver carries the documents from collection to delivery and the transfer is signed at both ends, so the chain is a short list of identified people rather than a series of anonymous handling events.
Do you provide proof of delivery?
Yes — the handover is signed at the destination, which records who accepted the documents and when. Where the consignment covers several items going to different recipients, the record can be itemised rather than a single count, so any discrepancy surfaces at the point of delivery while it can still be resolved.
Can the driver wait while documents are signed and bring them back?
Yes, and a wait-and-return is common for executed contracts, completion papers and anything requiring a witnessed signature. Because the vehicle is dedicated to your job it is not required elsewhere on a schedule, so waiting is a cost consideration rather than an operational impossibility.
What happens if nobody is available to accept the delivery?
A dedicated attendance is a scheduled appointment rather than an attempt in a delivery round, so it is worth confirming in advance who will be present and authorised to sign. Where the recipient is a regulated office, an unannounced courier will often be correctly refused entry, which is why the authorisation is agreed at booking.
Are the documents insured?
Goods-in-transit cover applies while they are in our care, but for documents the insurable value is rarely the real exposure. The consequence of a lost bundle is usually a missed court deadline or a notifiable personal-data breach rather than a replacement cost, which is why the design of the movement matters more than the cover attached to it.
Can you collect from multiple offices on one run?
Yes, and multi-point routes are straightforward on a dedicated vehicle since no network schedule constrains them. Each collection point adds route length and time on site, and where documents from different sources must stay separable, say so at booking so the handover record is structured accordingly.
