Water cooler operation looks simple and is almost entirely a logistics business. The machine is placed once; the bottles arrive every week for years, and the margin lives or dies on how efficiently that round runs.

What does a bottle round actually weigh?
More than people expect. A 19-litre bottle is about 19 kg full, so a forty-drop round is close to a tonne going out and a similar volume of empties coming back — handled twice, by hand, at every stop.

The asymmetry matters: full bottles fill the vehicle on weight, empties fill it on volume. A vehicle sized for the outbound leg is frequently too small for the return.
Why is the empty collection the harder half?
Because empties take almost the same space as full bottles and weigh nothing, so the return leg fills the vehicle without earning anything. A round designed around the delivery is a round that runs out of space on the way home.
Operators know this and it shapes route design: the vehicle has to hold the full outbound load and the empty return simultaneously through the middle of the round, when both are at their maximum. That is a genuine constraint rather than a scheduling preference.
It is also why exchange discipline matters. A customer who does not have empties ready leaves them for next time, and by the third cycle there are three cycles of empties in a corridor and no room on the vehicle. Building the count into the visit prevents it.
Where do the bottles actually go?
To the cooler, which is rarely by the door. Reception, a third-floor kitchen, a factory mezzanine, a site cabin at the far end of a compound — the last fifty metres is most of the work.
The recurring constraints are stairs, lifts and distance. A twenty-bottle delivery to a third floor without a lift is a genuinely heavy job, and it takes far longer than the same delivery to a ground-floor kitchen. Construction sites add an induction and a walk.

Can you deliver and install coolers as well?
We deliver and position machines; plumbing, electrical connection and commissioning stay with your installer. A bottled cooler is straightforward to place; a plumbed-in unit needs a plumber at the destination.
Machine movements come in three shapes: new installations, swap-outs where a faulty or upgraded unit is exchanged, and removals at contract end. Swap-outs are the most common and are two-way jobs — new in, old out, same visit — which is cheaper and less disruptive than two separate visits.

What happens to coolers at end of life?
They are electrical equipment containing a sealed refrigerant circuit, which puts them under both the WEEE Regulations 2013 and the F-Gas rules. They cannot go in a general waste load.
T&C Logistics holds Environment Agency upper tier registration CBDU654368 as a waste carrier, broker and dealer, so scrapped machines can be carried lawfully to a partner-operated permitted facility where refrigerant is recovered by a qualified engineer before the unit is processed.

Do you handle sparkling water systems and CO2?
Yes, where the load is correctly classified. Sparkling water dispensers use carbon dioxide cylinders, and CO2 is a classified gas for road transport.
Our drivers hold ADR certification, which T&C Logistics holds directly rather than through partners, so cylinder exchange can be carried out properly rather than informally. Cylinders travel secured upright with valves protected, exactly as any compressed gas does.

Does hygiene affect transport?
The bottles are sealed, so the transport risk is low — but the vehicle should not be the weak link in a chain the operator has otherwise controlled.
Bottled water is a food product and the operator's own hygiene arrangements cover sanitisation of coolers and handling of bottles. What a carrier contributes is a clean load space, no carriage alongside contaminating loads, and bottles kept out of direct sun where a round runs long in summer.
Empties returning are a different matter — they have been in an office for a week with an open neck. They travel separated from full stock rather than mixed, which is straightforward once the loading pattern accounts for it.
Can you cover rounds or take on overflow?
Yes. Operators run their own fleets and call for cover when a driver is off, a vehicle is down, or a new contract arrives before the next van does.
Cover depends on documentation as it does in every circuit business. A round recorded as a customer list with delivery quantities, floors, access notes and windows can be covered at short notice; a round that exists in a driver's memory cannot, and that is the single most common reason cover fails.
Seasonality is real here too — summer volumes rise sharply and a heatwave produces demand a fleet cannot flex to. Planning that capacity in spring costs materially less than finding it in July.
Can you deliver to construction sites and temporary locations?
Yes, and site water is a real segment. A site cabin with fifty people on it gets through a lot of bottles, and the delivery point moves as the site progresses.
The complications are the ordinary site ones: gate access, an induction, PPE, and a compound that may be a long carry from where the vehicle can stop. The delivery point also changes — a cabin that was by the gate in March is at the far end of the site by September.
Sites are also seasonal in a way offices are not. Summer consumption on a construction site rises far more sharply than in an air-conditioned office, and a round sized for winter will not cover July. See our construction industry hub.
What happens when a customer is out?
The bottles go back, and that is the expensive part of this business. A twenty-bottle drop that cannot be delivered has cost the same as one that could, and it has to happen again.
The commonest causes are a small office with nobody in, a school in a holiday, or a site with the gate locked. All three are predictable, and all three are avoidable with an access arrangement agreed once — a key holder, a safe drop point, or a note that the site closes in August.
Where a customer genuinely cannot receive during working hours, an early or late slot is usually cheaper than repeated failed visits. That is worth deciding at contract stage rather than after the third wasted drop.
Do you handle plumbed-in and filtered systems?
Yes, for the machine movements. A plumbed-in cooler has no bottle round at all, so the transport work is installation, swap-out, service exchange and removal rather than a weekly circuit.
That changes the shape of the relationship: fewer movements, each more significant, and each tied to an installer's appointment rather than a delivery slot. Filter cartridges and sanitisation kits still move, but they are small consignments rather than a round.
