Vending Machine Transport and Relocation Across the UK

Vending operators move machines constantly. A contract ends and the machine comes out; a new site opens and three go in; a refrigerated unit fails and a replacement has to be on the floor before the client notices. None of that is a parcel job, and very little of it fits a general removals firm. It needs a vehicle with a tail lift, two people who have moved a 350 kg cabinet through a fire door before, and a driver who understands that the machine must stay upright.

What kinds of vending machine can T&C Logistics move?

We move free-standing snack, drink, coffee and combination machines, plus the refrigerated and frozen units that sit at the heavier end of the range. The limiting factors are weight, height and door width rather than machine type.

Published manufacturer specifications put most commercial machines in a narrow band, which is what makes them a predictable transport job. A standard spiral snack machine typically weighs 250-320 kg; a chilled can and bottle machine typically 300-400 kg; a bean-to-cup coffee machine with a fresh milk module typically 150-250 kg. Height is usually 1.80-1.95 m and depth 0.80-0.95 m, which means a Luton body or box van with a tail lift takes one to three machines depending on load security.

Why does a vending machine have to travel upright?

Because refrigerated machines contain a sealed compressor with a lubricant oil charge. Laying the machine down lets that oil migrate into the refrigerant circuit, and starting the compressor afterwards can destroy it.

This is the single most common way a vending machine is damaged in transit, and it is entirely avoidable. Our drivers transport refrigerated units upright and strapped to the vehicle wall, never on their back or side. Where a machine has unavoidably been tilted beyond roughly 45 degrees, standard manufacturer guidance is to leave it standing for a settling period before power-up, commonly quoted as anywhere from two to twenty-four hours depending on the unit. We record the orientation the machine travelled in, so your engineer knows whether a settling period applies before switching on.

Non-refrigerated snack machines are more forgiving, but they carry glass fronts and delivery mechanisms that are easily distorted, so we treat them the same way.

How do you get a 350 kg machine into a building?

With a tail lift to reach the ground, appliance skates or a heavy-duty sack truck across the floor, and two people. The route is surveyed before the machine leaves the vehicle, not after.

The practical constraints in most venues are door width, floor surface and any step or threshold. A machine 0.90 m wide will not pass a 0.83 m fire door, and finding that out with the machine already off the vehicle wastes an hour of everyone's time. When you book, tell us the narrowest point on the route, whether there are steps, and whether there is a goods lift with a stated load limit. If the answer is a lift, we need its capacity in kilograms, because a 400 kg machine plus two handlers exceeds the rating of some older passenger lifts.

Where a machine must go up or down stairs, that is a specialist lift requiring a stair-climbing skate and, in most cases, a site-specific assessment. Tell us at quote stage so the right crew and equipment are allocated. Our two-man delivery vehicle is the default configuration for this work.

Can you handle a multi-site rollout or contract changeover?

Yes. Rollouts and changeovers are scheduled work, and scheduling is where they succeed or fail. We plan them as a route rather than as a series of unconnected jobs.

A typical contract changeover involves collecting the outgoing operator's machines and installing the incoming operator's on the same day, often outside the venue's trading hours. That means the vehicle has to hold both the outgoing and incoming units, or two vehicles have to meet on site. For a run of offices, gyms or schools within one region, a single 7.5-tonne vehicle working a planned sequence is normally cheaper and faster than four separate van jobs.

We handle out-of-hours and weekend work, which matters for schools, hospitals and leisure sites where a machine cannot be moved during opening hours. Vehicles are ULEZ-compliant for central London work, and every job is GPS-tracked so you can see where your machines are.

What happens to a machine at end of life?

It becomes waste electrical and electronic equipment, and it must be moved by a registered waste carrier. T&C Logistics is registered with the Environment Agency as an upper tier waste carrier, broker and dealer under registration number CBDU654368.

Vending machines fall under the Waste Electrical and Electronic Equipment Regulations 2013. Refrigerated machines add a second layer: they contain fluorinated or hydrocarbon refrigerant gases regulated under the Fluorinated Greenhouse Gases Regulations 2015, and the refrigerant must be recovered by a qualified engineer before the cabinet is processed. We carry the machine to a partner-operated permitted treatment facility; we do not treat or recycle it ourselves, and any recycling documentation is issued by the processor that performed the work.

What insurance covers the machine while it is with you?

Goods-in-transit cover of £50,000 per consignment on our own vehicles, extending to £1,000,000 through our partner network, plus £1,000,000 public liability.

For most vending equipment that is comfortably above replacement value: a new combination machine typically sells in the low thousands, and refurbished units for considerably less. Where a consignment is a full vehicle load of new machines, or where a single unit carries an unusually high value, tell us at quote stage so cover can be arranged to match. We will confirm the limit that applies to your job in writing.

How quickly can you respond to a failed machine?

Same-day, where the vehicle and crew are available in the region. A failed refrigerated machine in a hospital or a factory canteen is a service-level problem for the operator, not a scheduling inconvenience.

The realistic constraint is not our response but the swap itself. A same-day replacement means a machine has to exist somewhere reachable - usually the operator's depot or a nearby site - and a two-person crew has to collect it, travel, remove the failed unit and position the replacement. On a same-region job that is achievable inside a working day; across the country it generally is not, whatever anyone promises.

What helps is preparation. Operators who tell us in advance where their swap stock sits, and which sites have out-of-hours access, get a materially faster response than those who call cold.
